Office Coordinator / Manager and/or Operations Manager

We are seeking a highly organized, tech-savvy, and versatile Office Coordinator or Manager and/or Operations Manager to be the “Swiss army knife” of our organization. This pivotal role will directly support our CEO and leadership team while managing day-to-day operations across various critical functions. The ideal candidate will be a proactive problem-solver with an innovative mindset, capable of handling diverse responsibilities with precision and efficiency. You will thrive in a fast-paced environment, excel under pressure, and possess a keen eye for detail and high performance. This role requires someone comfortable wearing many hats and consistently seeking opportunities to streamline processes.

Responsibilities

  • Provide comprehensive administrative support to CEO managing correspondence, and preparing presentations and reports
  • Manage day-to-day office and/or virtual logistics in a remote environment, ensuring smooth and efficient operations. This may include managing virtual office tools, vendor relationships, and remote team communication protocols
  • Drive project management initiatives, utilizing tools like Slack, Notion, Asana, and Monday to track progress, manage deadlines, and ensure seamless execution of projects.
  • Handle accounting processes with our CFO and accounting partners, using Quickbooks, SAP, Ariba and more, ensuring accuracy and timely submission across both internal and client-owned platforms
  • Move project sales orders through sales pipeline from intake to project wrap and closure
  • Identify and implement new technologies and processes to enhance efficiency and productivity across all operational areas
  • Serve as a central point of contact for internal and external stakeholders
  • Anticipate the needs of the leadership team and proactively address potential challenges
  • Maintain organized digital filing systems and ensure easy access to important documents
  • Assist with the preparation of meeting agendas, minutes, and follow-up actions
  • Support other administrative and operational tasks as needed

Qualifications

  • Minimum of 5 years of professional experience in a related field/role, ideally within the entertainment, PR, marketing, or advertising industries
  • Proven experience supporting high-level operations is required; Experience supporting C-suite executives is preferred
  • Exceptional organizational and time-management skills with a strong ability to multitask and prioritize effectively
  • Highly tech-savvy with proficiency in project management tools such as Slack, Notion, Asana, and Monday. Must be comfortable learning and adopting new technologies quickly
  • Word processing, spreadsheet and presentation platforms both Google and MS fluency are a must
  • Experience with QuickBooks and SAP Concur is preferred
  • Excellent written and verbal communication skills with a professional and proactive approach
  • Demonstrated ability to work independently and remotely with minimal supervision
  • Strong problem-solving skills with a proactive and innovative mindset
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Must be versatile, adaptable, and comfortable taking on a wide range of responsibilities
  • Ability to thrive in a dynamic, fast-paced environment and maintain composure under pressure
  • Attention to detail and a commitment to high-quality work
